Trade Show Lead Capture Checklist

A booth-day checklist for scanning badges, enriching contacts, and exporting CRM-ready leads before you leave the event floor.

Before the show

Most lead-capture failures happen before doors open. Confirm your workspace, export paths, and rep assignments while you still have desk Wi-Fi.

  • Create or select the show in LeadLens and name it exactly how sales ops will search for it.
  • Connect HubSpot, Google Sheets, Slack, or webhook targets on paid plans — test one export end-to-end.
  • Publish your digital booth card (QR, NameDrop setup, Wallet pass, optional NFC stickers).
  • Brief reps on duplicate checks, lead temperature tags, and required booth notes.

At the booth

Capture while the conversation is fresh. Review fields before export so CRM data stays trustworthy.

  • Scan badges, QR codes, and business cards into the same show workspace.
  • Add booth notes and hot/warm/cold scores before the next visitor arrives.
  • Run enrichment on paid tiers when email or LinkedIn is missing from the badge.
  • Export hot leads during the show — not only after teardown.

After the last session

Close the loop while context is still shared across the team.

  • Export the full booth list to CSV, HubSpot, or Sheets for sales ops.
  • Audit duplicates and incomplete records before Monday pipeline reviews.
  • Archive or rename the show so the next event starts clean.
